This notice is to provide information regarding the data exchange of information between the Healthcare and Family Services (HFS) IMPACT system and the HFS legacy Medicaid Management Information System (MMIS) system. The Department is currently transferring data from the IMPACT provider enrollment system into the system that processes provider claims known as the Legacy MMIS system. This data exchange of information updates Legacy MMIS files from the completed and approved IMPACT enrollment data. Provider information sheets are mailed upon enrollment approval in IMPACT and completion of data transfer into the MMIS system. NOTE: Provider information sheets are mailed to providers at the office address on file and to all “payee addresses” if different from the office address,
 
Providers are responsible to review information for accuracy. Claims submitted with information that is different from the most recent provider information sheet, may be delayed in processing or rejected.
 
Record evaluation has identified several situations where the “Doing Business As” provider name entered in IMPACT is different than the name entered on claims for both new providers and providers who have revalidated. It is critical for payment of claims that the provider name matches the “Doing Business As” name in IMPACT. Please be sure to check billing systems to make sure that the names are the same. At this time, providers will see a warning on the remittance advices which will state “Provider Name does not match Provider Number”. In the near future, the ”warning” message will no longer be informational messages on the remittance advice, but will generate an error code that the provider must correct and then resubmit the claim.
 
NOTE: Do Not change the historical provider name submitted on claims to match the “Doing Business As” name in IMPACT until you have received the provider information sheet from HFS, as our systems will not have had the name changed until that time. All changes to provider information must be electronically submitted through the IMPACT provider enrollment as a modification and are not effective until approved by HFS staff and transferred to the Legacy MMIS system.
